Record Keeping of Medications
All prescription and OTC medications received, dispensed, and/or
administered will be recorded.
Audit and reconciliation inventory reports of all prescription and OTC
medications will be conducted on an on-going basis by the UNCW Team
Physician and/or the Director of Athletic Training and/or his designee to
ensure accuracy of inventory and compliance.
All reports shall be maintained on file for a period of three (3) years according
to Federal law.
Destruction of Expired, Damaged, and/or Unusable Medications
The UNCW Team Physician, Director of Athletic Training and/or his
designee will perform a semi-annual inspection of all medications contained
in the UNCW Team Physician Medical Office Prescription Drug Formulary.
When medicines have expired, been damaged, and/or otherwise rendered
unusable, the Director of Athletic Training and/or his designee shall separate
these medications from others.
Expired, damaged, and/or unusable over the counter (OTC) medications will
be placed in a biohazard waste container and disposed of as per the
University’s OSHA /Biohazard Waste Removal Procedure or boxed and
delivered to the pharmacy for destruction and disposal.
Unsecured Medications
All UNCW Team Physicians will sign an Unsecured Medication Exception
List document (Form C) that authorizes the storage of certain prescription
drugs outside of the secured medical cabinet in the UNCW Team Physician
Medical Office.
The Unsecured Medical Exception List will be readily retrievable, reviewed,
and resigned by all parties on an annual basis.
Only the UNCW Department of Athletic Training certified athletic trainers are
authorized to administer unsecured medications as per the orders of the
UNCW Team Physicians.
Whenever an unsecured medication is administered, a written patient note
should be generated in the student-athlete’s medical chart.
Types of Unsecured Medications
1. Epi-Pen Auto-injectors
2. Iontophoresis Medications (Dexamethasone, Lidocaine, etc)
