Course Administration<br />

Application Procedure<br />

VTAC<br />

Most applications for full time study in an Advanced Diploma, Diploma or<br />

Certificate IV course need to be made through the Victorian Tertiary Admissions<br />

Centre (VTAC). Some courses accept direct applications for full time study.<br />

Please contact the relevant department if you are unsure <strong>of</strong> the appropriate<br />

procedure.<br />

Once you have accepted your <strong>of</strong>fer, you will need to attend an enrolment session<br />

at the <strong>University</strong>, on the date and time specified in your letter <strong>of</strong> <strong>of</strong>fer.<br />

Direct Entry<br />

If you have applied directly to a <strong>TAFE</strong> Department, a letter <strong>of</strong> <strong>of</strong>fer will come from<br />

the department and will specify the details <strong>of</strong> enrolment. It is important that you<br />

attend the correct enrolment session.<br />

International Students<br />

If you are an International Student, you must apply for courses through the<br />

International Student Unit (ISU). ISU is the main point <strong>of</strong> liaison between<br />

international students and departments. The unit can also <strong>of</strong>fer advice on matters<br />

pertaining specifically to international students. ISU is also responsible for<br />

determining the rate <strong>of</strong> fees and charges payable by international students.<br />

Amendment to Enrolment<br />

If you wish to add or remove modules from your original enrolment, you must<br />

complete an Amendment to Enrolment Form available from your department, <strong>TAFE</strong><br />

Student Administration or Reception <strong>of</strong>fice.<br />

It is advisable that you discuss your amendment with your department. Their<br />

approval must be gained before the amendment can be made.<br />

You will be notified, by way <strong>of</strong> an updated Enrolment Advice, when your<br />

amendment has been processed. This will also include a new Direct Deposit slip<br />

for any newly incurred fees.<br />

Deadlines <strong>of</strong> Amendments to Enrolments<br />

If you withdraw a module from your Semester 1 enrolment, you must do so before<br />

the 31st March in order to receive a refund. To receive a refund <strong>of</strong> Semester 2<br />

fees, you must withdraw before the 31st August. If enrolment took place after<br />

these dates, you must withdraw within 4 weeks <strong>of</strong> the commencement <strong>of</strong> the<br />

course to be eligible for a refund.<br />

Application for Exemptionrrransfer<br />

If you have completed a similar module in past studies you may be eligible for an<br />

Exemption. If you have completed the same module in past studies, either in a<br />

different course, or at another institution, you may be eligible for a Transfer. If you<br />

wish to apply for an exemption or a transfer you must complete an Application for<br />

Exemption!Transfer Form.<br />

You will need to meet with your Course Co-ordinator to discuss the nature <strong>of</strong> the<br />

exemption or transfer. At this time you should provide evidence to support your<br />

application, such as past Results Transcripts etc. A copy <strong>of</strong> this evidence should<br />

be submitted with your Application for Exemption!Transfer Form. On approval by<br />

your Course Co-ordinator, your application will be processed and you will be<br />

notified by way <strong>of</strong> an updated Enrolment Advice.<br />

When completing your application form, it is important that you specify whether<br />

you are applying for an Exemption or a Transfer.<br />

Certificates and Graduation Ceremonies<br />

On successful completion <strong>of</strong> an accredited course, you can apply to receive a<br />

certificate. This is done by way <strong>of</strong> an Application for Award/Graduation Form.<br />

These forms can be obtained from your campus <strong>TAFE</strong> Student Administration or at<br />

www.swin.edu.au/corporate/registrar/graduation<br />

The award application requires payment to be attached. Please ensure you read<br />

all instructions on the form before submission.<br />

Graduation Fees<br />

$88.00 for those who wish to attend a ceremony.<br />

$10.00 for those who wish to graduate 'in absentia' i.e. not attend a<br />

ceremony<br />

If the course you have completed is a Certificate IV level course, or above, or an<br />

Apprenticeship, you will be invited to attend a Graduation Ceremony. Those who<br />

have completed a Certificate III or below will be sent their certificate through the<br />

mail.<br />

Changing Personal Details<br />

If you have moved or changed your name, you need to notify <strong>Swinburne</strong> <strong>of</strong> the<br />

change. This is done by way <strong>of</strong> an Amendment to Personal Details Form. These<br />

forms are available from <strong>TAFE</strong> Student Administration and Reception <strong>of</strong>fices.<br />

They are to be submitted to <strong>TAFE</strong> Student Administration or Reception. In the<br />

case <strong>of</strong> a name change, documentation is required.<br />

Credit Transfer<br />

Applicants with prior tertiary studies that satisfy part <strong>of</strong> the academic<br />

requirements <strong>of</strong> a course may be granted 'credit' and/or entry with 'advanced<br />

standing'. <strong>University</strong> policies apply and applicants will be assessed on a case-bycase<br />

basis. See 'Application for Exemption!Transfer' above.<br />

fees<br />

The fees payable by students enrolled in the <strong>TAFE</strong> Division may be made up <strong>of</strong> the<br />

following:<br />

Tuition Fee, as prescribed by Ministerial Directions;<br />

General Service Fee (GSF) set by the Council <strong>of</strong> the <strong>University</strong>; and<br />

Materials Charges (where applicable)<br />

Tuition Fees<br />

The Tuition Fee for students enrolled in Centrally Funded <strong>TAFE</strong> courses is a charge<br />

<strong>of</strong> $1 (one dollar) for each module hour within a calendar year. The maximum<br />

Tuition Fee a student can pay is $500 and the minimum is $40. VCE Students pay a<br />

maximum Tuition Fee <strong>of</strong> $420. Apprentices and Trainees pay a maximum Tuition<br />

Fee <strong>of</strong> $290.<br />

General Service Fees (GSF)<br />

The General Service Fee is a compulsory charge for all students enrolled in<br />

Centrally Funded <strong>TAFE</strong> courses for the provision <strong>of</strong> amenities and services by the<br />

<strong>University</strong>. The fees vary according to the course load and campus. The General<br />

Service Fees for <strong>2002</strong>, including GST, are:<br />

If you are enrolled in Off-Campus, Community Location, Distance Education, and<br />

Industry Locations, you will be charged a common fee <strong>of</strong> $28 per year. courses<br />

delivered in Workplace Training mode, do not incur a GSF.<br />
