14. TEAM MEETINGS<br />

Team meetings are usually held weekly or bi-weekly. They are<br />

more frequent when you are involved in a big project. After 9/11,<br />

Rudy Giuliani held a daily morning meeting <strong>with</strong> the top 20 department<br />

heads. It was his key management tool to make sure he and<br />

everyone else knew what was happening and how they needed to<br />

respond after the tragedy.<br />

HOW TO SET UP AND RUN AN EFFECTIVE TEAM MEETING<br />

Here are the key tasks that should occur before, during, and<br />

after a team meeting:<br />

Before<br />

The leader or meeting owner should:<br />

• Defi ne the purpose and objective of the meeting.<br />

• Select participants.<br />

• Secure the room and equipment.<br />

• Prepare the agenda and send it out ahead of time. Ask if<br />

there are items people want on the agenda and include<br />

them.<br />

• Make a fi nal check on the meeting room.<br />

During<br />

The leader or meeting owner should:<br />

• Start promptly.<br />

• Select a scribe to take minutes.<br />

• At the start of the meeting, prioritize the agenda <strong>with</strong><br />

time frames and then manage the time.<br />

• Follow specific team guidelines you have created. (See<br />

page 164.)
