Chapter 11-<strong>Polycom</strong> Conferencing for Microsoft Outlook®<br />

Meetings are organized using the Microsoft Outlook client in the normal manner.<br />

If the meeting organizer decides that video participants are to be included in a multipoint<br />

video conference, he/she clicks the <strong>Polycom</strong> Conference button. Conference Information such<br />

as the Meeting ID and connection information is automatically added to the existing<br />

appointment information.<br />

The meeting organizer can add a meeting agenda or personal text to the invitation before it<br />

is sent. The meeting organizer can update or cancel the video enabled meeting in the same<br />

manner as for any other meeting.<br />

When the meeting organizer sends the meeting invitation a meeting record is saved in the<br />

Microsoft Exchange Server, the <strong>RMX</strong>, DMA, RSS and calendaring-enabled endpoints.<br />

<strong>RMX</strong>s, DMA and calendaring-enabled endpoints poll the Microsoft Exchange Server to<br />

retrieve new meeting records and updates to existing meeting records.<br />
