233 Project Management
The following points should be explained during this meeting:
– Duration of the inspection
– Determination of the people who will carry out the inspection
– Number of workers needed by the contractor for the inspection
– Documentation and procedures for any faults found.
Inspection notes are to be taken at the end of the inspection which are to be signed by the cli-
ent. In international projects, it is recommended that the inspection conditions and procedures
are contained in the contract. In standard contracts this topic is always covered. The client
always has a right of inspection. If there are faults in the result, a fault list will be created. It con-
tains the non-fulfillment of requirements or reasonable expectations in regards to the contractu-
ally agreed project result. A fault list must be carefully checked off in order to achieve fault-free
inspection of a project. The warranty phase typically begins after a successful inspection. If
serious faults are found, one should at least strive for a partial inspection with a faults list.
Successful final inspection always includes handing over the project results to the client. This
step must be mentioned in the inspection notes. Inspection notes must be safe-kept after the
end of the project. The time for safekeeping is normally dictated by company guidelines.
2.4.2 FINAL PRESENTATION
The final presentation's goal is to present the project results to the client. This presentation should
take place after final inspection is completed. The final presentation is to be prepared by the proj-
ect manager, and contain the following:
– Presentation of the project results
– short look back on the project with important changes over the course of the project
– Target-actual comparison of the achieved project results
– Experience report about the collaboration between the client and the contractor
– if applicable, subsequent activities after the end of the project.
The project's end is officially reached after the final presentation.
2.4.3 FINAL MEETING
The final meeting serves the goal of allowing the project team members to share their experienc-
es. The goal of the final meeting is to reflect on the project planning and implementation, and to
work out the experience for future projects or future collaboration ('lessons learned'). All project
workers take part in the final meeting. The meeting is led by the project manager and includes
