The meeting should also be used to <strong>of</strong>fer constructive criticism from the project manager as well<br />

as the team members.<br />

2.4.4 PROJECT CONCLUSION REPORT<br />

The project conclusion report is <strong>of</strong>ten seen as an unnecessary burden. On the contrary, in many<br />

international projects it is a payment-triggering event. Only with the transfer <strong>of</strong> the final report<br />

<strong>and</strong> the final project documentation to the client can the last payment rate be requested. A final<br />

project report is created by the project manager which deals with a project assessment in re-<br />

gards to schedules, costs <strong>and</strong> results as well as a summary <strong>of</strong> the project experience learned.<br />

The final project report informs all participants <strong>of</strong> the last status <strong>of</strong> the project. It is important to<br />

answer the following questions:<br />

– What was achieved with the project?<br />

– What experience was derived from the project work?<br />

– How can the experience be used in subsequent projects?<br />

3 PROJECT DOCUMENTATION<br />

The documentation <strong>and</strong> the storage <strong>of</strong> project documents is <strong>of</strong>ten difficult in practice. No one<br />

likes to do it, but everyone knows that it is unavoidable. At the end <strong>of</strong> the day, the client ex-<br />

pects complete documentation <strong>of</strong> the project objective. The giving <strong>of</strong> documentation is always<br />

a payment-triggering event in external projects. This means that the final invoice can only<br />

be sent when the complete documentation has been h<strong>and</strong>ed over. Project documentation<br />

contains all documents which have been generated about the project, as well as documents<br />

which are necessary for the final documentation. This must be stored in an easily underst<strong>and</strong>-<br />

able structure.<br />

The project documentation is not different in national or international projects. At the beginning<br />

<strong>of</strong> international projects, one must determine the language for the project documentation.<br />
