The meeting should also be used to offer constructive criticism from the project manager as well
as the team members.
2.4.4 PROJECT CONCLUSION REPORT
The project conclusion report is often seen as an unnecessary burden. On the contrary, in many
international projects it is a payment-triggering event. Only with the transfer of the final report
and the final project documentation to the client can the last payment rate be requested. A final
project report is created by the project manager which deals with a project assessment in re-
gards to schedules, costs and results as well as a summary of the project experience learned.
The final project report informs all participants of the last status of the project. It is important to
answer the following questions:
– What was achieved with the project?
– What experience was derived from the project work?
– How can the experience be used in subsequent projects?
3 PROJECT DOCUMENTATION
The documentation and the storage of project documents is often difficult in practice. No one
likes to do it, but everyone knows that it is unavoidable. At the end of the day, the client ex-
pects complete documentation of the project objective. The giving of documentation is always
a payment-triggering event in external projects. This means that the final invoice can only
be sent when the complete documentation has been handed over. Project documentation
contains all documents which have been generated about the project, as well as documents
which are necessary for the final documentation. This must be stored in an easily understand-
able structure.
The project documentation is not different in national or international projects. At the beginning
of international projects, one must determine the language for the project documentation.
